Terms & Conditions for Group Worship Vocal Coaching Sessions
Thank you for your interest in worship vocal coaching for your ministry! These sessions are designed to empower singers to lead the Church with freedom and endurance and to help them unlock their God-given sound. The following terms ensure a smooth and respectful process for everyone involved.
Booking & Payment
Group sessions require a minimum of 5 participants and must be booked for at least 2 hours.
A 50% down payment is required at the time of booking to secure your session date.
The remaining 50% balance is due one week before the scheduled session.
To ensure a smooth experience and proper scheduling, please make the final payment by the due date. If any challenges arise, please reach out in advance so we can discuss possible arrangements.
Group sessions are customized for your worship team and are in-person only. If online coaching is needed, it must be booked as a 1-on-1 private lesson.
Rescheduling & Cancellation Policy
Rescheduling:
If your church needs to reschedule, please provide at least 14 days' notice before the original session date.
You have a two-week period from the original session date to confirm a new date.
The new session must take place within 90 days of the original session.
The original session details (group size, duration, etc.) must remain the same to maintain the same pricing. If any adjustments are made, additional costs may apply.
The 50% down payment will be held to allow rescheduling within this timeframe. If no new date is confirmed within two weeks, the deposit becomes non-refundable.
Cancellations:
Cancellations made at least 14 days before the session are eligible for a full refund, except for any non-recoverable travel costs (flights, hotels, rental cars).
Cancellations made within 14 days of the session are non-refundable, but I am happy to work with you to find a solution, including rescheduling if possible.
Attendance & Absence Policy
Group coaching sessions are designed for a minimum of 10 participants and should have at least 5 singers present, as agreed upon during booking.
If fewer than the agreed-upon number of singers attend the session, Jasmine is not responsible for the absence of participants, and no refunds or partial refunds will be issued.
If Jasmine is given short notice that fewer singers will be present, she will still conduct the session and adjust the coaching accordingly to benefit those who attend.
Churches are encouraged to ensure that all agreed-upon participants are present to maximize the value of the session.
Photography & Videography
Photos and videos may be taken during the session for promotional, educational, and social media purposes.
If your church prefers not to be photographed or recorded, please inform us in writing at least 48 hours before the session. While we will do our best to accommodate, complete avoidance of photography in a group setting may not always be possible.
Safety & Liability
Vocal coaching involves physical and vocal exercises. While every effort is made to provide a safe and effective session, participation is voluntary.
By attending, you acknowledge that you assume responsibility for any risks associated with vocal training, movement, or other activities during the session.
Jasmine Diaz and Jasmine Diaz Vocal Coaching are not responsible for any injuries, vocal strain, or property loss that may occur before, during, or after the session.
Respect & Worship Environment
These coaching sessions are meant to honor God and strengthen your worship team both vocally and spiritually. To ensure a positive and safe experience for everyone:
All participants are expected to engage with respect, encouragement, and a heart of worship toward instructors and fellow team members.
Any behavior that is disruptive, inappropriate, or makes it difficult to maintain a healthy learning environment may result in a participant being asked to step out of the session.
If at any point Jasmine feels unsafe or at risk for any reason, she reserves the right to pause or end the session immediately at her discretion. No refunds will be issued in such cases.
These sessions are designed to be a space of growth, collaboration, and reverence, and I appreciate your partnership in fostering that environment!
Additional Responsibilities Policy
The group coaching session is solely for vocal coaching and does not include leading worship or participating in additional church services or events.
If your church would like Jasmine to lead worship for a service, worship night, or any other event, this must be agreed upon in advance and included in the initial agreement.
Last-minute requests (requests made within 7 days of the session) for Jasmine to lead worship, assist with a service, or participate in an event may be accommodated at her discretion and will incur the following additional fees:
$500 per service (includes sound check and the full duration of the service).
If multiple services are required on the same day, each additional service will be $350 per service.
For extended worship events lasting 3+ hours, a flat rate of $1,000 will apply.
Payment for last-minute requests must be made before the additional service begins.
Travel & Accommodation Policy
For out-of-town coaching sessions, the following guidelines help ensure smooth and stress-free travel arrangements for both parties.
Booking & Reimbursement Options
The church is responsible for covering flights, hotel accommodations, and a rental car as part of the session agreement.
The church may choose to:
Book travel arrangements directly, following the preferences outlined below.
Reimburse Jasmine for travel costs if she books them herself, with reimbursement provided at least 14 days before the session for upfront costs (such as flights and hotels).
All travel costs are non-refundable once arrangements have been made.
Travel Timing & Arrival Preferences
For morning events (starting before 12 PM), an overnight stay the night before is required to allow for rest, prayer, and preparation.
For afternoon or evening sessions, Jasmine prefers to arrive the night before, but if same-day arrival is necessary, flights should be scheduled to arrive and be in the hotel at least 4 hours before the session to allow time for settling in and focus before the event.
Flight Considerations
Flights should be economy class or higher with a major airline (Delta, United, American, Southwest, etc.).
Whenever possible, please book flights with minimal layovers (under 3 hours preferred) to reduce travel fatigue.
Hotel Considerations
A safe, clean, and comfortable hotel is greatly appreciated.
A room with a microwave and refrigerator is preferred for meal flexibility.
A case of bottled water should be placed in the hotel room for convenience.
The church is asked to complete check-in prior to Jasmine’s arrival and apply any hotel deposit to their card at the front desk. 5.
Rental Car & Fuel Considerations
A rental car should be large enough to accommodate luggage for travel.
A gas-powered vehicle is preferred for ease of refueling.
The church is responsible for rental fees, fuel, and necessary insurance.
If Jasmine needs to pay upfront for the rental car or fuel, she will submit a receipt for reimbursement, which should be processed within 7 days of receiving the invoice.
Agreement Acknowledgement
By booking a group session, you confirm that you have read, understood, and agreed to these terms.
A signed acknowledgment of this agreement may be required before the session begins to ensure mutual understanding and expectations.
